Privacy policy
Who we are
This policy covers Canterbury Rugby Union Club Ltd (ABN 51 000 528 076), Wills Ground, Lang Rd, Earlwood NSW 2206 ("the club", "we"). It applies to canterburyrugby.com.au, our online store, our club emails and our Facebook pages. We handle personal information in line with the Australian Privacy Principles.
What we collect
- Register your interest and club updates: your name, email, mobile (optional), what you are interested in, and whether you want club emails. For junior rugby we ask a parent or guardian for their own details and only the child's age group. We do not collect children's names or other details through the website.
- Online store: your name, email, mobile and what you bought, so we can prepare your order for pickup. Card payments are processed by Square. We never see or store your card details.
- Messages to the club: what you send us by email (including info@canterburyrugby.com.au) or Facebook Messenger, and your contact details.
- Committee area: committee members' email addresses, used only to let them log in.
- Past records: contact details from the club's previous website (Wix), including past ticket and merchandise purchases.
How we use it
- To reply to your enquiries and help you join, play, support, sponsor or volunteer at the club.
- To fill your store orders and contact you about pickup.
- To send club news and updates, but only if you have asked for them. Every club email has an unsubscribe link.
- To keep a record of how you have been in touch with the club, so committee members can follow up properly.
We do not sell, rent or trade your personal information, and we do not use it for advertising.
Who helps us handle it
We use these service providers. They process information only to provide their service to the club:
- Square: online store, payments and order records.
- Cloudflare: website hosting, security checks on our forms, the club contact list and the committee login.
- Google (Gmail): the club's email account, which receives your emails and sends club replies and updates.
- Meta (Facebook): Messenger conversations with our Facebook pages.
- Anthropic: the club uses an AI assistant to help draft replies to enquiries sent by email or Messenger. Your message is processed to prepare that reply and is not used to train AI models.
Some of these providers store information outside Australia, including in the United States.
Google user data
The club's own software connects to the club's Gmail account (secretary.cruc59@gmail.com) through Google's API. It reads emails sent to the club so we can reply to them, and sends club emails such as replies, welcome messages and updates. It does not access anyone else's Google account. Information obtained through Google APIs is used only to run the club's email, is not shared with anyone except the service providers listed above for that purpose, is not used for advertising, and is not used to train general AI models. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Cookies and tracking
The website does not use advertising or analytics trackers. Your browser remembers your store cart on your own device. Cloudflare uses a security check on our sign-up form to block spam, and Square's checkout page uses its own cookies to process payments. Committee members get a login cookie when they sign in.
How we keep it safe
Your information is stored with the providers above using their security protections. Only club committee members who need it can see the contact list, and they must sign in to do so. We keep information while it is useful for club purposes and delete it when you ask us to, unless we must keep it, for example payment records required by law.
Your choices and rights
- Stop club emails: use the unsubscribe link in any club email, or email us.
- See or correct your details: email us and we will tell you what we hold and fix anything that is wrong.
- Delete your details: email us and we will remove you from the contact list.
Contact and complaints
Email info@canterburyrugby.com.au or write to the Club Secretary, Canterbury Rugby Union Club Ltd, Wills Ground, Lang Rd, Earlwood NSW 2206. We aim to reply within 30 days. If you are not happy with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
We may update this policy as the club's website and services change. The date at the top shows when it last changed.
Terms of use
These terms apply when you use canterburyrugby.com.au or buy from our online store. By using the website or placing an order you agree to them. Nothing in these terms limits your rights under the Australian Consumer Law.
Using the website
- The website is run by Canterbury Rugby Union Club Ltd (ABN 51 000 528 076) for club members, players, families, supporters and sponsors.
- We try to keep information such as fixtures, training times and prices accurate, but it can change. Check with the club if something matters to you.
- Photos, the club crest and other content on the site belong to the club or are used with permission. Please don't reuse them commercially without asking us.
- Links to other websites, such as FuseSport, Facebook and Square, are provided for convenience. Those sites have their own terms.
- The committee area is only for authorised committee members. Don't try to access it unless you have been given access.
Online store
- Prices are in Australian dollars. The club is not registered for GST, so no GST is charged.
- Payment is taken at checkout through Square. Your order is confirmed when payment succeeds and Square emails your receipt.
- Pickup: orders are collected from the canteen at Wills Ground, Lang Rd, Earlwood, at training (Tuesday and Thursday from 6:30pm) or on game day. We will contact you if there is a delay. Please collect within 30 days, or contact us to arrange something else.
- Stock: items are subject to availability. If we can't supply something you paid for, we will refund you.
- Sizes and exchanges: if something doesn't fit, tell us before or at pickup and we will swap it for another size if one is available.
- Refunds: faulty or not-as-described items are refunded or replaced under the Australian Consumer Law. Change-of-mind refunds are at the club's discretion and may not be available for clearance items.
- Match-worn jerseys have been used in games and are sold in used condition. Each number is a one-off.
- Clearance specials are previous-season stock, sold while stocks last.
Rego kit packs and player registration
- Buying a rego kit pack does not register you to play. Every player must register separately on FuseSport, which covers player fees and insurance.
- Kit packs are ordered in for the season. We will tell you when your kit is ready to collect.
- The early-bird bonus (a free previous-season jersey with kit packs ordered by 30 March 2027) applies while stocks last, and is handed over at pickup.
Liability
To the extent the law allows, the club is not liable for any indirect loss arising from use of the website. Our liability for goods bought through the store is limited to replacing or refunding them, except where the Australian Consumer Law gives you other rights.
General
These terms are governed by the laws of New South Wales. We may update them from time to time; the date at the top shows when they last changed. Questions? Email info@canterburyrugby.com.au.
